If you’re planning an event, there’s one thing we can almost guarantee: the weeks leading up to event day will fly.
And when time is flying, signage and printing can go from:
“We’ve got plenty of time” to “WHY is this due tomorrow?!”
That’s exactly why we created something simple, practical, and honestly… sanity-saving.
FREE Timeline Planner
A clear, repeatable timeline that helps you manage signage and printing properly — every single time.
Because the truth is: planning printing for an event doesn’t need to be stressful… it just needs a clear plan.
Why Event Printing Gets Stressful (And It’s Not Your Fault)
Event planning comes with a million moving parts:
–> Venues, suppliers, run sheets, sponsors, catering, staff, bump-ins… the list never ends.
Printing is often the thing that gets left until later because it feels “easy” — until it suddenly becomes urgent.
And then the questions start piling up:
- What signage do we need again?
- What sizes are the walls/fences?
- Is this indoor or outdoor?
- Will it be windy?
- Do we need fabric, mesh, vinyl, corflute, or banners?
- Is the artwork correct?
- Are sponsor logos updated?
- Who is approving the final file?
- When does it need to be installed?
And that’s when the stress levels rise… and the coffee intake doubles. ☕😄
The Problem With “Last-Minute Printing”
Let’s call it what it is: the last-minute rush is where mistakes happen.
When event printing is left too late, you risk:
❌ limited material options
❌ fewer cost-effective solutions
❌ rushed approvals
❌ incorrect sizing
❌ missed details
❌ stress on the whole team
❌ printing something that looks fine… but doesn’t work in the space
And nobody wins when signage turns up and doesn’t fit the bill.
Not you, not the venue, not the audience — and definitely not your blood pressure 😅
The Best Event Signage Trick? Start Earlier Than You Think
Here’s the signage truth we live by: You can never be too early for signage…
…but you can absolutely be too late (especially after the event 🙃)
That’s why we recommend starting 3 months out, or even earlier when possible.
When you plan early, you get:
✔ smooth decision making
✔ better value choices
✔ time to fix artwork properly
✔ time to choose the right material for the environment
✔ a clean workflow (instead of chaos)

The Ideal Timeline for Planning Printing for an Event
Here’s the simple version of how we recommend planning:
10+ weeks before your event: DISCUSS + PLAN
This is where we talk about:
- your vision and goals
- what spaces you’re branding
- what signage options suit your event
- site measures if required
- material options based on environment
This is the “get organised early” stage.
(It’s also the stage where you still have time to breathe.)
8 weeks before your event: QUOTE + CONFIRM
Now we:
- finalise your signage list
- confirm sizing/quantities
- provide quotes
- lock in the plan and timelines
This stage gives you clarity.
6 weeks before your event: ARTWORK RECEIVED + PREP
This is where we:
- receive artwork files
- check sizes, bleed, and print-ready formatting
- prep layouts and proofs
- avoid last-minute surprises
This stage stops the workflow from getting “stuck”.
4 weeks before your event: ARTWORK APPROVED ✅
At this point:
- artwork is approved
- everything is locked in
- production can run smoothly
This is the “green light” moment.
Production Lead Times (The Important Bit!)
To keep your event running seamlessly, here’s what you should allow:
Fabric signage
- minimum 2–3 weeks production
- ideally 4 weeks for best flexibility + results
Corflute / Banners / Decals
- minimum 2 weeks production
And yes — we know sometimes things pop up late. We’ll always do our best to help.
But planning early gives you the best outcome (and the calmest event prep).
